How to choose volunteer management software.
Start with how your volunteers show up, then ask every vendor the same eight questions. Here is the checklist we would use.
Start with your volunteers
Most volunteer software is built for the coordinator at a desk. The people who decide whether it works are the volunteers: if signing up means downloading an app or resetting a password, fewer of them sign up, and fewer hours get recorded.
So before comparing features, picture a volunteer’s first five minutes. How do they find a shift, say yes, show up, and get credit for the time? Every tool answers that differently.
Eight questions to ask every vendor
- Can volunteers sign up and sign in without an app or a password?
- Is texting two-way, so volunteers can reply, or only outbound reminders?
- How are hours recorded, and what proof sits behind each one?
- Can volunteers see their own hours and share them with a school or a court?
- Does each person keep one record across programs, sites and chapters?
- How is the price set: per volunteer, per record or per admin? Are texts extra?
- Can you import your current list without creating duplicates?
- Whose phone number do the texts come from, and how is consent recorded?
Match the tool to the program
| Program | What matters most |
|---|---|
| Cleanups and build days | Several sites in one day, a capacity per site, and one roster at the end |
| Court-appointed hours | Required hours with a deadline, proof on every session and a coordinator’s sign-off |
| Student service hours | A goal per student, progress they can see, and hours a school can trust |
| Food banks | Weekly shifts with a capacity and a quick way to see who came |
| Churches | Serving teams copied each week and onboarding before anyone serves |
| Networks of chapters | Each chapter runs its own, and the network still sees the whole picture |
Free or paid?
A free sign-up sheet is fine for a one-off event. Once you run a program all year, track hours someone else relies on, or need to know who actually came, you need the record behind the sheet. Check whether texting, hours reports and check-in are included or sold as add-ons, and whether the price grows with volunteers, records or admins.
